NAIROBI, Kenya – Madison Life Assurance Kenya Limited has announced three vacancies for Records Management Assistants. The positions offer an opportunity for detail-oriented professionals to join one of Kenya’s reputable insurance companies.

Available Positions

Records Management Assistant – Three Posts

These entry-level positions are based at the company’s headquarters or regional offices. Successful candidates will support the documentation and records management function within the organization.

Key Responsibilities

The Records Management Assistants will be expected to:

  • Sort, classify, and file both physical and electronic records according to the company’s classification system

  • Retrieve and track files requested by various departments

  • Maintain an up-to-date records inventory and database

  • Ensure the security and confidentiality of all company documents

  • Assist in the digitization of physical records as part of ongoing automation projects

  • Dispose of obsolete records in accordance with the company’s retention policy

  • Support audits by providing requested documentation in a timely manner

  • Maintain a clean and organized records storage area

Required Qualifications

Education:

  • Minimum of a Diploma in Records Management, Information Science, Library Science, or a related field from a recognized institution

  • A Certificate in Records Management with relevant experience may be considered

  • Proficiency in computer applications, including MS Excel and database management systems

Experience:

  • Previous experience in a records management or documentation role is an added advantage

  • Fresh graduates with relevant internships or attachments are encouraged to apply

Key Skills and Attributes:

  • Strong attention to detail and high level of accuracy

  • Good organizational and time management skills

  • Ability to maintain confidentiality and handle sensitive information

  • Basic knowledge of electronic document management systems

  • Strong communication skills

  • Ability to work independently with minimal supervision
